Customer Service in the Bottled Water Industry - Pure Water and the Customer Promise

Almost every company discusses, at length, the need for customer service and the significance of supplying true excellence to its customers. However, very few actually follow through with what it takes to attain this excellence. This is particularly true in the bottled water business since not all providers share the opinion that customer service is of the utmost importance in any business.

The bottled water industry services a wide customer base with numerous companies and individual clients. The industry is characterized by a small number of very large firms and a substantial number of relatively small consumers with specific geographic niches.

The Nature of the Business:

The bottled water business consists of the manufacturing and delivery of spring or purified water in small packages or large containers such as 5 gallon bottles. The product is delivered directly to the customer’s site in either company owned delivery vehicles or through common carriers. Each individual bottled water company provides an implicit promise to its customers that it will manufacture the highest quality product and deliver that product at the agreed upon time.

Many, Many Customers:

The customer base in the bottled water industry is very diverse and ranges from individual consumers with single bottle requirements to large multi-cooler business accounts with significant water needs. Each client has its own specific requirements, which are met by the company providing the services and product.

The Customer Service Promise and the History of the Business:

In the past, various bottled water companies have focused on process rather than customer service. Many firms acted on the belief that the delivery of a superior product completed their obligation to the customer. However, the customer service promise includes much more than a simple delivery of a quality product and requires additional services such as on time delivery, proper pricing, responding to additional delivery requests and other specific needs. One of the most important customer responsibilities is the ability to communicate their concerns not only to the customer service departments, but also to the heads of each company.

Current Status of the Industry (The Unfulfilled Promise):

Although the bottled water industry may seem rather simple, in reality, it is a very complex business. High quality water must be produced and delivered to the customer's location on time and as ordered. Often enough, customer requests change without warning, which is one reason why flexibility is important to the success of the bottled water company.

Frequently, the water needs of the customer exceed original expectations, which causes shortages . However, in order to avoid such a situation as this, the supplier would have already invested in the communication and stock infrastructure to meet all of its clients’ demands.

For those suppliers who private label water as a means of customer advertising, the design, printing and durability of the label on the bottle is a critical factor. Therefore, companies creating labels of lesser quality in the design and printing of the labels clearly provide a substandard product to their customers.

Communication and the Customer Promise:

Many bottled water suppliers neglect the reality that proper communication channels serve as the basis for fulfilling the customer promise. An overall reliance on voicemail and/or e-mail, an inability to respond quickly to customer needs and the absence of true customer service assistance has created a negative impression of the industry for many customers.

A proper communication system has many technical elements but it should begin with a willingness to include human contact in the communication link. No customer enjoys being dropped into the voicemail void, therefore, the bottled water suppliers that continue to prosper are the companies that uphold the customer service promises and guarantee personally answered customer service calls, which they promptly use to respond to client inquiries and concerns.

Accept Responsibility and Do What It Takes to Provide Customer Satisfaction:

There are many excuses for failure to perform but the bottled water suppliers who are truly world class are those who accept responsibility and persevere with their customer satisfaction guarantees. This often includes obtaining little or no profit on a particular transaction in order to fulfill the customer service promise.

Size is not the determinant in the customer service equation. Often, smaller companies are ready, willing and able to better fulfill the customer promise.
Look for a supplier with a track record of not only achieving the customer promise but also one with a history of fulfillment of the promise.

Pure Water and Fine Tea

Pure Water and Fine Tea
Water as the Basis for a Quality Cup of Tea

By
Jon M. Stout
April 13, 2006

Tea originated in China 5,000 years ago and the selection and brewing of tea has been refined to an art with health and spiritual aspects emerging as part of the process.

Experienced tea drinkers throughout the world generally follow established guidelines for infusion or brewing of tea and the infusion process is often as important as the initial selection of tea. For many tea enthusiasts, brewing tea is the most soothing and spiritual part of their day. Brewing a good tasting cup of tea releases tensions for many and has a definite comforting effect.

It is a fact that since 99% of tea is water, better water makes better tea and water is critical to the final outcome of tea preparation. Brewing tea can be complex or simple. For many tea enthusiasts the brewing process is an important part of the tea experience that culminates in the preparation of a satisfying beverage and a way of life. Fine teas are especially sensitive to the nature of water for infusion.

The best water for successful tea infusion is low in mineral content, free of contamination and additives and high in oxygen content.

Water Quality and Brewing Tea

Good tasting tea requires good tasting water. A simple test is that if the water tastes good by itself, the resulting brewed tea will also have a good flavor. Because a brewed cup of tea is mostly water, the quality of the water is often as important as the quality of the tea leaves. The water must be free of contaminants and minerals and contain enough oxygen to enhance the natural tea flavor. Moreover, there are a number of additional factors that will affect the taste of the infusion. These include water temperature, the mineral content of the water used and the continued presence of a sufficient quantity of oxygen in the water.

If one is using tap water, filtration is often required. Many tap water suppliers use chlorine to kill bacteria and chlorine in tap water combined with mineral and chemical deposits can significantly affect tea taste and the tea drinker’s overall health. The brewer will want to remove chlorine and other chemicals as well as sediment from the water. It is best to check the composition of tap water on EPA or AMWA websites. Frequently there are also local water quality analysis data available.

Chlorinated tap water for example destroys the flavor of tea. No matter how skillful the preparation or spectacular the tea, bad water will make a bad cup of tea.

Water Temperature

Most experts recommend that one never boil water for a prolonged period or re-boil a previously used supply. The more that the water boils, the more oxygen that is driven out of the water .When water is boiled, oxygen evaporates, and the crisp taste in the brew is lost..

Fresh cold water is important. In areas with poor tap water, use bottled or filtered water that is free of contaminants. Never use water from the hot water tap. If only tap water is available, run the water until it is cold and has a chance to aerate and infuse oxygen.

Poor quality tap water, containing mineral content and other contaminants, even if it is very cold, should be avoided since its chemical treatment imparts undesirable flavors and odors which interfere with the delicate aromatics of tea.

Mineral Content - Soft vs. Hard Water

Water described as "hard" is high in dissolved minerals, specifically calcium and magnesium. These minerals accumulate in the water, adversely affect the taste and clarity of the tea and accumulate in teapots and infusers. Teas brewed with pure water containing no minerals produce a crisp flavor and a clear brew that is aesthetically agreeable.

Hard water can also affect the appearance of tea by making it dark and murky. Hard water often results in an undesirable chalky taste and can also reduce the aesthetic portion of the tea brewing process by bleaching the color of the leaves.

High mineral content bottled water has the same negative impact on tea as hard water particularly when bottled water does not include significant oxygen.

Oxygen and Water

Oxygen plays an important role in brewing because it helps to release the best flavors of tea. As a result, one must use water that is aerated (full of oxygen). It is an established fact that the presence of oxygen in water is required to maximize tea flavor. Aeration is particularly important when brewing fine teas.

Avoid re-heating water because previously boiled water will have lost much of its dissolved oxygen which is important to bring out the tea flavor Always use freshly drawn water that has not previously been boiled to maximize the oxygen content of the brew.

Water Quality, Purity and Taste for Tea Drinkers in the United States

Historically, in China, great attention was give to supplying high quality water from a reliable source. The emperors of China appointed royal springs reserved for use in tea brewing and developed special messengers that would guarantee the freshness and availability of supply. This procedure was repeated throughout history and in other tea drinking areas of the world. Supply of water was an integral part of the tea experience.

In the United States utilizing a pure water supply is also critical to proper brewing but the water supply generally comes form one of three sources: Municipal water, spring and well water and bottled water.

Municipal water is the predominant form of water supply and is controlled by standards set by the Environmental Protection Agency. It is important to note that EPA Regulations do not eliminate the presence of harmful minerals from water but merely set upper limits on the presence of contaminants. In addition, chlorine is often added to municipal water to kill bacteria but this chlorine has a distinctly undesirable taste.

Spring and well water are a major source of water in rural areas but it is unregulated and subject to serious contamination from organic, chemical and human sources. Individual wells and springs must be tested to determine the source and level of contamination.

Bottled water is the best for brewing flavorful tea but care should be taken to determine the source of the bottled water. Bottled water from springs is subject to contamination while mineral water often contains the minerals that are most detrimental to good tasting tea. Of the various sources for bottled water only purified water is best for the brewing of good tasting tea.

Purified water means that all minerals and contaminants are filtered and removed from the water using a purification process but that is only the first step. For tea brewing purposes purified water must also be infused with oxygen to guarantee the best flavor. Only those companies that use a multi-step process of filtration, purification and oxygenation should be considered as a reliable source for the brewing of good tasting fine tea.

Disaster Planning For The Hurricane Season - Pure Water For Natural Disasters

The hurricane season will be upon us shortly and it is wise to begin preparations for all consequences associated with these catastrophic events. Timely and proper planning will avoid much of the stress resulting from hurricane damage and may well avoid injury and loss of life.

The Hurricane Season

Many people do not realize that the hurricane season is lengthy and spans the six month period from June 1 to December 1 each year. The frequency of major storms has been escalating recently in cycles that increase and decrease over 10 to 20 year periods. Most weather forecasters acknowledge that we are presently in a cycle of increased hurricane activity with the potential for as many as 15-17 named storms forecasted in 2006.

Areas of Risk

Hurricanes and tropical storms are a worldwide phenomenon. The storms affecting the United States and the Caribbean are called hurricanes while the storms in the Pacific are called typhoons and tropical storms in the Indian Ocean are designated tropical cyclones. Low lying coastal areas are at increased risk but inland areas as far as 200-300 miles can still suffer heavy damage. In the United States the coastal areas of the Southeast are at risk and all areas of the Caribbean Sea and Gulf of Mexico have historically seen extensive storm damage; areas as far north as Massachusetts and Rhode Island have suffered direct hurricane hits. In 2006, at least one major storm is forecasted to hit the Middle Atlantic and Northeast states.

Hurricanes are Serious Events

Anyone who has experienced a hurricane will attest to the fact that these are serious weather events.

Hurricanes are ranked from category 1 (sustained winds in excess of 78mph) to category 5 (sustained winds in excess of 155mph); even a category 1 storm can create extensive damage. Damage from wind, flooding and storm surges can destroy buildings and cause widespread flood damage. By far the most serious cause of impairment however, is the storm surge created by wind pressure and wave action. Storm surges as high as 30 feet are not uncommon in major storms.

In 2005 a category 3 storm (Katrina) destroyed a large portion of New Orleans and, notwithstanding substantial Federal Government aid, the area has yet to recover. In 2004 a deadly category 5 storm (Ivan) destroyed many of the homes and buildings on a number of islands in the Caribbean and the coastline of the Gulf of Mexico. Ivan was particularly dangerous with 24 hours of sustained winds of 165 mph and wind gusts recorded as high as 207mph. With a storm surge of over 20 feet, approximately 1/3 of a particular island was covered by water and disappeared from radar as the storm passed.

Hurricanes generally result in at least some loss of life both at sea and on land even for relatively minor storms, however major storms can be much more devastating. At the turn of the twentieth century, an unnamed storm took the lives of between 6,000 to 10,000 people in Galveston, Texas. The worst recorded loss of life resulted from a tropical cyclone that hit East Pakistan (now Bangladesh) with over 200,000 lives lost.

At a minimum, hurricanes result in the loss of water service, electrical power and communications for a period of time during and after the storm. Frequently, this period can extend for weeks and even months in some cases.

Modern Technology is Good News

Modern computer technology and forecasting techniques have increased the period of warning that allows preparation for the impact of the storm. These types of warnings allow preparation and even evacuation in the event of a powerful, threatening storm.

For those who remain in place during a storm, advance preparation is required in order to survive the aftermath of the storm. This requires stockpiling of the proper supplies prior to the storm because demand for supplies immediately before a storm increases rapidly and shortages occur. Therefore, advance preparation is the key to survival success.

A Three Step Disaster Plan

In order to survive a hurricane disaster, proper planning is critical and takes enormous effort. In addition to assembling supplies as early as possible, a plan must be devised and also practiced. A simple but effective plan developed by The Harvard Medical School is as follows:

1) Collect disaster supplies

The devastation incurred by Hurricane Katrina is graphic evidence of just how destructive natural disasters can be. Those affected are without electricity, water, domestic gas, telephone and even shelter. To be prepared, collect the following items and store them so that they will easily be found in the event of an emergency -- but not so easily that you end up depleting the supplies without realizing it. Some people store these items in a section of the basement or a closet that is used infrequently. Decide what will work best for you.

Disaster-supply list

-- Bottled water (1 gallon per person per day; three-day supply ideal)
-- Cash (ATM and credit cards may not work or be accepted by businesses)
-- Cellular phone (with non electrical charger, such as a car charger or AAA battery pack)
-- Clothing and underwear
-- Phone numbers of friends and family
-- Important Documents (driver's license, passport, birth certificate, etc.) in a waterproof container
-- Dust mask (one per person)
-- Eating utensils (plastic or disposable)
-- Emergency numbers: local, state and federal
-- Financial inventory (a list of bank and investment accounts, mortgages and loans, including account numbers and location of original documents)
-- First-aid kit (see "Your first-aid kit," below)
-- Flashlight with extra batteries
-- Food (canned goods and other nonperishable items that do not require cooking)
-- Masking tape, duct tape
-- Medical information (list of your medications, any chronic conditions and medical history)
-- Medications (three-day supply of all daily medications)
-- Paper towels, toilet paper and sanitary products
-- Pet supplies and carrier (include food, water, leashes and records of shots)
-- Plastic sheeting
-- Radio (battery-operated) with extra batteries
-- Scissors
-- Sleeping bags or blankets (one per person)
-- Toiletries (soap, toothpaste, toothbrush, etc.)
-- Tools (can opener, knife, pliers; a Swiss army knife may suffice)
-- Trash bags

2) Create a portable supply kit

In case you have to evacuate your home, it is good to put the supplies you think you would need the most in a portable container. Some people try to fit all of the supplies listed above in a large rolling trashcan with a lid or a large rolling cooler. Another option is to store the items in several small coolers or boxes. Think about what supplies you need, what you can reasonably carry or store in your car, and how many people will be available to help you transport the supplies.

3) Develop and practice an emergency plan
All the planning in the world will not do much good if you do not prepare ahead of time. Not only does this enable you to go through your plan while you are calm and thinking clearly, but it also enables you to modify it before you have to put it into action.

-- Identify emergency evacuation routes and shelters in your community and near your workplace.
-- Decide where family members should meet if you are separated in an emergency.
-- Identify a backup location to meet at, in case the first location is impossible to reach.
-- Identify a point-person in the family who will serve as the central contact to call in case of confusion.
-- Choose an out-of-state friend or relative to serve as a backup contact, in the event that local lines are tied up or out of service.
-- Provide every member of the family with a cellular phone or prepaid phone card to make sure they can make a call in the event of an emergency.
-- Consider family members with special needs while making plans. (For example, who will help someone in a wheelchair?) Do not forget your pets, either. (For example, where can you leave pets if you have to evacuate to a hotel that does not allow them?)
-- Practice the plan at least once per year.

Source: Harvard Medical School (hms.harvard.edu)

Water is Critical

Of all the supplies listed the most critical by far is an adequate supply of drinking water. Everything else (including food) is secondary to water because the body needs a large and continuous supply of fresh water. After a hurricane, water service is interrupted for lengthy periods of time because of lack of power and the fact that existing water supplies are often polluted. Pure and fresh water is mandatory to ensure proper hydration and avoid disease spread through polluted water.

Plan to collect and store water supplies that exceed the minimum and use the highest quality water possible. Ultra-pure distilled water can be stored for long periods because there are no minerals or bacteria in the water; supplies can be maintained almost indefinitely if stored in a cool dark place.

Estimate supplies for more than your immediate needs because in times of emergency and hurricanes many people move to safer structures or higher ground, which may burden existing supplies of safer locations.
Plan for the worst as your life and well being may be at stake

The hurricane season will be upon us shortly and it is wise to begin to plan for all eventualities associated with these catastrophic events. Proper planning now will avoid much of the stress resulting from hurricane damage and may well avoid injury and loss of life.

Private Label Drinking Water and Event Planning

Private Label Drinking Water and Event Planning
Pure Water for Memorable Events

May 6, 2006

Events are an important part of corporate life. A well planned event can forcefully convey a clear corporate message and engage participants in the respective corporate culture.

Most companies and organizations hold events for a number of reasons. Company picnics, holiday parties, new product introductions, sales and planning meetings and annual shareholder's meetings are but a few of the occasions that mark milestones of the organization. These meetings require detailed planning and resources and many organizations elect to utilize specialists in managing events.

Event planning is a complex undertaking with the coordination of vendor delivery schedules and maintaining critical timeline requirements. In addition to the logistics involved in planning the meeting most planners develop a theme that captures the essence and intent of the meeting. The theme adds continuity and acts as a reminder of the event for the future.

The Value of the Theme

A common theme brings participants together and allows the event organizers to convey a strong message about the event. The theme is usually expressed in communication and promotional material and documents related to the event. Effective communication of the theme is critical to the success of the event. Since there are a variety of themes to choose from for any event, care must be taken to select the best theme for the occasion and to properly communicate the theme to the audience.

Promotional Items and Quality Communication

The theme is an important element of communications. A quality message, consistent with the overall theme message of the company, is required for effective communication. One aspect of communication is the use of personalized promotional items, effective banners and unique giveaways. These items can be designed to impart an effective message and the use of high quality personalized giveaways creates a lasting impression and reinforces the event theme.

Private Label Drinking Water as an Effective Promotional Item

Private label drinking water is an ideal and powerful way to promote an event theme. Essentially private labeling allows businesses to design and develop a label with a custom message and theme and attach that label to a bottle of healthy drinking water. A result of this process is the creation and promotion of a clear message that is tailored to the event

Because of the immediate and permanent nature of the bottled water product, consumable advertising is created that leaves a lasting message in the mind of the event participant.

Some of the benefits of private labeled water include:

• A high-quality, effective and custom message.
• Messages can be modified to reflect events like corporate meetings, new product introductions and promotions.
• Individual users often carry the water with them and the event message is further extended and promoted.
• Pure water is popular and universally accepted as contributing to good health. The message of the private label effectively reaches more prospects as use grows.
• Effective cost is low and response to the event message is immediate.
• Consumable, portable advertising creates a lasting message and impression.

What to Look for in a Private Label Water Supplier

There are a number of private label water suppliers but they vary widely in the quality of their product offerings. There are three areas to investigate when choosing a supplier:

1. Quality of Water

Events with a large number of participants require proper hydration with water of the highest quality. High quality water in terms of health and taste is also critical for the acceptance of the theme and event message. If the water is low quality or tastes bad then the message will fail. The best quality water on the market today is purified using a distillation/ filtration/ oxygenation process that removes all impurities, including all bacteria, and creates a light, refreshing taste.

2. Quality of Label Design and Production

The label is the message part of the product and poor-quality labels send a poor-quality message. Production of a poor-quality label is a waste of money and adversely affects the message and theme.

It is very important to know that the vast majority (almost all) of the private label opportunities in this country come from water resellers (not bottlers) with desktop-model “thermal” (or “thermal wax”) printing devices with a quality level that cannot compare well to even consumer-grade inkjet printing devices widely available for less than $200 at your local electronics store. These label printers are very cheap in both quality and cost, typically ranging from $10-20k depending on configuration, and are widely used throughout the private label water industry because of their low cost.

In sharp contrast, a quality label, i.e., one that looks like a top-shelf brand that you might find in your local gourmet grocery store, needs to be produced with professional-quality equipment using professional-grade printing equipment. There are three types of printing equipment that can produce a high-quality label.

1. Rotary offset lithography;
2. Flexography; and
3. High-quality digital presses.

For most smaller runs (under about 10,000 units), digital equipment offered by Heidelberg or HP is the most cost effective solution, but instead of $10-20k, the minimum equipment costs for these professional solutions range from $750k to $1.25M per station.

These facts are very important to understand when choosing a private label bottler — because those who sell low-quality labels would have you believe that nothing better is available because of the short runs required by private label customers. Nothing could be further from the truth.

In order to succeed, your label must be professionally designed and produced with high-quality materials using a printing process that renders a high-quality result. Waterproof lamination is also required for long lasting labels. This is easily achieved for an affordable unit cost using the right equipment for the job.

3. Quality of Customer Service

The design and production of private labeled drinking water is complex and requires intense interaction between the customer and supplier. Communication and a culture of customer service excellence is a prerequisite to the creation of an effective theme message and a successful event. Without a significant commitment to customer service on the part of the supplier, the impact of the theme message will fail.

Choose a quality supplier to help develop and communicate your message and to create success for the corporate event.
